What we do with your information.
Written plainly rather than in legal language, because a page about trust shouldn’t need decoding. If anything here is unclear, ask us and we’ll explain it.

We don’t sell your data
Not to advertisers, not to data brokers, not to anyone. There is no version of this business where your details become someone else’s list.
Only what we need to reply
The contact form asks for a handful of things because they let us give you a useful answer. Nothing on it is required beyond that.
Ask and it’s gone
Email us and we’ll delete everything we hold on you. No form to fill in, no reason required, no attempt to talk you out of it.

Who we are
BuildSoWell helps people buy verified property in The Gambia from the UK, US and Europe. We are based in Leeds, United Kingdom, and operate in The Gambia.
For the purposes of UK data protection law, BuildSoWell is the data controller for information you give us meaning we decide what happens to it and we’re responsible for looking after it.

What we collect
When you use the contact form, message us on WhatsApp, or email us, we collect:
If you go on to become a client, we’ll also hold the documents relevant to the property being checked titles, agreements, correspondence. That’s covered in section 05.

Why we’re allowed to hold it
UK data protection law requires a lawful basis for processing personal information. Ours are:
- Your consent you filled in a form or messaged us, asking us to get in touch
- Steps prior to a contract where you’re discussing engaging us for verification or purchase management
- Contract where you’ve become a client and we need your details to do the work
- Legal obligation where we’re required to keep records, for example for tax or anti-money-laundering purposes
We do not rely on “legitimate interests” to add you to marketing lists you didn’t ask for.

What we do with it
We use your information to reply to you, to understand what you’re trying to buy, to carry out work you’ve engaged us for, and to keep you updated on that work.
We do not sell your data. We do not share it with advertisers or data brokers. We do not add you to a marketing list because you once enquired, and we do not pass your details to developers or agents without asking you first.
The only circumstances in which your information reaches anyone else are:
- Service providers we use to run the business email, form handling, our CRM, scheduling. They process data on our instructions and cannot use it for their own purposes.
- Where you’ve asked us to for example, introducing you to a developer or passing a query to a solicitor on your behalf.
- Where the law requires it a court order, a regulator, or a legal obligation we can’t refuse.

How long we keep it
Enquiries that don’t go anywhere: deleted after two years, or sooner if you ask.
Client records: kept for six years after the work concludes. Property transactions can be questioned years later, and the record of what we checked and when is often the thing that protects you.
Financial records: kept as long as tax law requires.
After those periods, we delete it.

Information leaving the UK
Because we operate in The Gambia as well as the UK, carrying out work for you may involve your information being seen by people there for example, if someone needs to attend the registry or a site on your behalf.
The Gambia is not covered by a UK adequacy decision. Where we transfer information there, we do so only where necessary for work you’ve engaged us for, and we limit it to what that work requires.
Some of our service providers also store data outside the UK. Where they do, we rely on the appropriate safeguards under UK data protection law.

Your rights
You can ask us at any time to:
- Show you what we hold about you
- Correct anything that’s wrong
- Delete it subject only to records we’re legally required to keep
- Stop or limit what we’re doing with it
- Send it to you in a portable format
- Withdraw consent you previously gave
Email hello@buildsowell.com. We’ll respond within one month, usually much sooner, and we won’t ask you to justify the request.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d rather you told us first so we can put it right.

Cookies
Our website uses cookies necessary for it to function, and may use analytics cookies to understand which pages people find useful.
We do not use advertising or tracking cookies, and we don’t run retargeting. You can block or delete cookies through your browser settings.

Security
We keep your information in access-controlled systems and limit who can see it to the people doing the work. Documents relating to a property purchase are handled with the same care we’d want applied to our own.
No system is completely secure. If something happens that puts your data at risk, we’ll tell you and, where required, the Information Commissioner’s Office.

Changes to this policy
If we change how we handle information, we’ll update this page and change the date at the top. If the change is significant and affects people we already hold data for, we’ll contact them directly rather than relying on them noticing.
